Payroll outsourcing

Payroll Services in Malaysia

Payslips out on time, statutory contributions paid correctly, and salary data off your admin team's desk — for a fixed per-employee fee agreed upfront.

What we run each month

  • Payroll calculation — basic salary, overtime, allowances, commissions, unpaid leave and deductions.
  • Confidential payslips — issued directly to each employee by email or a secure portal, not left in a shared folder.
  • EPF, SOCSO and EIS — contributions computed and submitted, with the payment file ready for your bank.
  • PCB / MTD — monthly tax deductions calculated and remitted to LHDN.
  • HRD Corp levy — computed and submitted for registered employers.
  • Bank payment file — formatted for your bank so salary payment is one upload, not fifty transfers.
  • Year end — EA forms for every employee and the employer's Form E, filed on time.

Joiners, leavers and the awkward months

Most payroll errors happen in the months when something changes. A new hire mid-month, a resignation with unused annual leave, a maternity case, a foreign worker on a different contribution basis, or a bonus that pushes someone into a higher PCB bracket. These are the cases we handle routinely and where outsourcing actually earns its fee.

For leavers we also prepare the final pay calculation and the tax clearance position where one is required — particularly relevant where a departing employee may be leaving the country.

Confidentiality

In a small company, whoever runs payroll knows what everyone earns — including their own manager and, often, the directors. That's an uncomfortable position to put an admin or accounts clerk in, and it's one of the most common reasons Malaysian businesses outsource. Your payroll data stays with a named person in our team, under a confidentiality undertaking, and nothing circulates internally.

Indicative fees

  • Up to 10 employees — a flat monthly fee covering all statutory submissions.
  • 11 to 50 employees — a per-employee fee on a sliding scale.
  • Over 50 employees — quoted on volume and complexity; multi-entity groups supported.
  • Year-end EA and Form E — covered by the monthly payroll fee.

Payroll is quoted and charged separately from bookkeeping or any other engagement, on the basis set out above.

Moving payroll across mid-year

You don't have to wait for January. We can take over at any month end: we load year-to-date figures for each employee so cumulative PCB and EPF stay correct, reconcile the opening position, and run one parallel month alongside your existing process if you want the reassurance before switching fully.

Payroll questions

Do you handle foreign workers?
Yes. Foreign employees have a different SOCSO and EPF treatment depending on their status and permit type, and getting it wrong creates arrears that surface years later. We set each employee up on the correct basis at onboarding and review it when permits change.
Who actually pays the salaries and contributions?
You do. Client funds do not pass through the firm. We prepare the payment file and the submission, and you release the payment from your own bank account. That keeps control of funds with you and keeps the audit trail clean.
What do you need from us each month?
Usually just the exceptions: new joiners, leavers, overtime hours, unpaid leave, bonuses and any salary changes. Where nothing has changed, confirming that is sufficient and the prior month is repeated. Most clients send this on WhatsApp in a few lines.
Can employees get their own payslips and EA forms?
Yes. Payslips go directly to each employee, and EA forms are issued individually at year end. You get the summary reports; staff get their own documents without having to ask the office for them.
